Information we collect
We collect personal information that you provide directly when you:
- Fill out our Client Interest Form (name, contact details, language preferences, broad description of what you’re looking for)
- Fill out our practitioner application form (name, contact details, professional credentials, modality, practice details)
- Submit a Meta (Facebook or Instagram) lead form connected to one of our ads (name, email, phone, and your answers to the form questions)
- Email or call us directly
- Interact with us on social media
We also collect limited technical information automatically when you visit our website, including IP address, browser type, pages viewed, and referring source. This is collected via standard website analytics tools (Google Analytics and Google Search Console).
How we use your information
We use the information you share with us only for the following purposes:
- To respond to your inquiry and match you with a practitioner
- To send you the contact details of practitioners who may be a good fit
- To contact you about your application or matching request
- To improve our matching process and services
- To maintain and improve our website
- To comply with legal obligations
We do not sell your personal information. We do not share it with third parties for marketing purposes.
Who sees your information
- The Clinic’s coordination team sees the information you submit, for matching and response purposes.
- A matched practitioner may receive your initials, age range, language preferences, and a short summary of what you’re looking for, so they can confirm availability and suitability. They will not receive your full responses unless you choose to share them directly.
- Third-party service providers that help us operate (Meta, Google, our email provider, our website host) may process limited information on our behalf, under their own privacy terms.
How long we keep your information
- Client Interest Form submissions: up to 24 months from the date of submission, after which they are deleted unless you’ve become an active client of a practitioner at The Clinic.
- Practitioner applications: up to 24 months from the date of submission.
- Email correspondence: as long as reasonably needed for the purpose it was sent.
You can request earlier deletion at any time (see below).
Your rights
You have the right to:
- Request access to the personal information we hold about you
- Request that we correct inaccurate or incomplete information
- Request that we delete your personal information
- Object to or restrict certain uses of your information
- Withdraw your consent at any time
